AI document analysis for small business

Ask your business documents a question and check the source.

BrainRoad turns the files you already have into a private, searchable Business Brain. Ask about a lease clause, compare quote examples, find a policy, or summarize meeting notes. The answer points back to the document it used so you can verify it.

New customer-facing workflows begin in review. Repeated low-risk email replies may later earn narrow autonomy you can pause or revoke.

The problem

The answer is usually in a file. Finding the right file is the work.

Small businesses accumulate contracts, old quotes, price sheets, meeting notes, policies, customer records, and half-finished procedures. Search can find a filename, but it rarely answers the question that interrupted the day.

Generic AI can summarize one upload. The harder problem is keeping the business documents together, finding the relevant passage later, and showing where an answer came from before someone relies on it.

The BrainRoad rule

BrainRoad can prepare the reply, summary, reminder, or next step. New customer-facing workflows begin in review.

How it works

BrainRoad analyzes documents as part of a persistent Business Brain.

Upload the documents you want the helper to use. BrainRoad extracts text from PDFs, Word files, and scanned PDFs, breaks the material into searchable context, and keeps the original source attached.

When you ask a question, the helper searches that private collection and returns an answer with citations. It can then use the verified context to prepare a reply, note, quote brief, or next step for review.

01

Add the real files

Upload contracts, quotes, policies, meeting notes, financials, customer records, or operating documents.

02

Ask a business question

Ask for the clause, comparison, summary, exception, promise, or next step you would otherwise hunt down manually.

03

Check the source

Open the cited document, verify the answer, and decide whether the resulting work should move forward.

First useful workflows

Start with one repeatable task, not a grand AI strategy.

Contract and lease questions

Find renewal dates, termination language, payment terms, and obligations, then check the original document before acting.

Quote and pricing comparison

Compare prior quote examples, service rules, exceptions, and price sheets before preparing a new quote brief.

Meeting-note follow-up

Pull decisions, promises, owners, and due dates out of meeting notes and prepare the next message for review.

Policy and procedure lookup

Ask how the business handles a situation and retrieve the relevant rule, checklist, or example.

Customer-history review

Bring together uploaded notes and records before a reply, renewal conversation, or service visit.

Scanned document search

Use OCR to make scanned PDFs searchable instead of reopening pages one by one.

Good fit

  • Important answers are spread across PDFs, Word files, notes, and scans.
  • You need to verify the source before using an AI answer.
  • The same documents should also inform replies, quote prep, and follow-ups.
  • You want business context to persist instead of uploading the same files for every chat.

Not a fit

  • You need legal, tax, medical, or financial advice instead of document retrieval and summarization.
  • You want an answer with no source review for high-stakes decisions.
  • You only need a one-time summary of one public document.
